EANO Meeting 2023

Please select your presentation type by clicking one of the following options:

  • If you are not able to present your talk for any reason, you are kindly requested to contact the organising office immediately and to notify them of any change of presenter or withdrawal.
  • Please also inform the organising office in case you have any special needs which would affect your presentation (e.g. wheelchair).

The chairpersons of your session will be strict in allowing no more than the time allotted to your paper. Remember to allow time for questions and answers and some time for changeover and introduction of the next speaker.

Please rehearse your talk to make sure it will fit comfortably into the available time.

As a rule, presenters can show a (final) slide with all acknowledgements. However, in view of the short time available, names cannot be read to the audience.

In compliance with EACCME regulations, authors must disclose possible conflicts of interest on the first slide. Initiates file downloadExample slide download

conflict of interest is any situation in which a speaker or immediate family members have interests, and those may cause a conflict with the current presentation. Conflicts of interest do not preclude the delivery of the talk, but should be explicitly declared. These may include financial interests (e.g. owning stocks of a related company, having received honoraria, consultancy fees), research interests (research support by grants or otherwise), organisational interests and gifts.

If you have nothing to disclose, please state “I have no commercial disclosure” instead of the table.

  • File types: MS PowerPoint (.pptx) and PDF
  • Format: 16:9 landscape (1920 x 1080 resolution)
  • File name: Session date, session time, presentation number and speaker name, e.g. 2023-09-22-08-00_ME01_1_JohnDoe. To avoid any compatibility problems, please do not use special characters (e.g. «, Ö, Ø, ñ, ε, ®, ý, }, {, etc.).
  • Font size: minimum 20 points for easy viewing recommended
  • The fonts that are used in the presentations should be "Latin-based fonts“. If you must use special fonts, provide a ZIP folder with "embedded fonts“ on the USB-Stick or the online upload as well (File → save as "name of presentation“ and under "tools“ → save options mark the checkbox "embed True type fonts“ and select "embed all characters“).
  • Videos should be directly embedded in the PowerPoint slides and not only linked. If you are unsure, you can also upload the video as an MP4 file or bring it on a USB stick to the speaker service centre to make sure everything is working fine.
  • When using mathematical symbols please use these which are available under Latin fonts (unicode or DOS: Western Europe).
  • The official conference language is English. Therefore, all presentations are to be held in English.
  • Personal laptops from speakers cannot be used for projection.

Speakers can decide to either upload their presentation(s) via an online link and/or onsite in the speaker service centre at the venue. All presentations will be loaded into a central presentation handling system that will store and distribute the presentations to the session hall in time for your presentation.

Note: If you use videos or a special font, all files needed for your presentation (including the video files!) must be uploaded separately or saved on a USB-Stick and uploaded in the speaker service centre.

Online Presentation Upload

  • Deadline: at least 3 hours before the session starts
  • An email with detailed upload instructions and the link(s) to upload your presentation(s) will be sent to you via email from "support@slidecrew.com" one month before the congress starts.
  • If you have more than one presentation, you will receive one upload link per presentation. Please make sure to upload the different presentation files to the according links.
  • If you are using videos in your presentation make sure that they are embedded in your PowerPoint slides. Additionally, you can upload them as MP4 files by using the same upload link as for your presentation slides.
  • If you want to submit an updated version of your presentation, you can use the same upload link. If it's less than 3 hours before your session starts, please go to the Speaker Service Centre to update your file.
  • We highly recommend that you check your presentation at the Speaker Service Centre to ensure that everything is correct.

  • If you have more than one presentaion, you can upload all your presentations at the same time and they will be sent to the specific session halls at the time of your sessions

Please note that taking pictures during the sessions is allowed, unless indicated accordingly by the presenter. People who do not observe this rule will be excluded from the session by the chairpersons.

  • Go to your session room 15 minutes prior to the start and make yourself known to the chairpersons and/or the room assistant before the beginning of the session.
  • The text on your slides should be concise and to the point, key facts should be highlighted. No more than seven text lines should be used per page. Your guiding principle should be “As much as necessary, as little as possible”.
  • Colours should be used sparingly. Choose colour combinations that make your text easy to read (preferably dark background – light fonts).
  • Keep data on the slides simple.
  • Ensure a logical order of the content, clearly and well-structured.
  • Refrain from selecting too many images and movies. Concentrate on those which emphasise your key points and conclusions optimally.
  • Remember that the vast majority of the audience are not native English speakers – speak clearly (whether or not English is your native tongue) and not too fast.
  • Leave sufficient space between the text and the edge of the slide/screen. Some data projectors may not display the very border of the slide/presentation.

If you are unable to present your poster, you are kindly requested to contact the organising office immediately.

  • Only posters in portrait format can be mounted.
  • The usable surface on the poster board will be 95 cm width x 135 cm height (approx. 37 x 53 inches).
  • Only pins can be used to mount posters. Material will be available onsite.
  • In compliance with EACCME regulations, authors are requested to disclose conflicts of interest on their poster.
  • When presenting data and health information (including photos) all presenters must have informed consent compliant with human subjects and applicable regulations, and comply with GDPR.
  • Posters should stimulate discussion, not give a long presentation. Therefore, keep text to a minimum, emphasize graphics and make sure every item is necessary.
  • Include the title of your presentation. The EANO will not post the abstract titles on poster boards.
  • The lettering of the poster heading should be at least 2.5 cm high. Detailed information can be provided in a smaller size, but remember that your text must be easily readable from distances of at least 1 meter.
  • If you wish, you may include a QR code to a handout on the poster. Please do not give away printed handouts to help the organizer to reduce the amount of paper at the congress.
  • You may also wish to provide contact information on your poster.
  • Your headshot photograph on the poster may facilitate contacts during the congress.
  • For additional assistance in preparing your poster, there are a number of excellent resources available online. For more information, type “scientific poster preparation guidelines” into your internet search engine.

All presenters have been informed about their poster session allocation and details (poster presentation number, poster session, etc.) via email on July 25, 2023. In case you did not receive the email please contact the organising office.

SCAM Alert

Based on our experience from past years, please be aware that you may be contacted by phone or email by third party companies that act as travel agencies, wholesalers or destination management companies to solicit you with aggressive or deceptive tactics for travel arrangements or room reservations.

Be aware that this is a scam designed to obtain your credit card information and/or to make phony charges to your credit card. Please be very cautious when contacted as representatives are extremely pushy, prodding and convincing. We recommend that you do NOT give these companies your credit card information, personal information, or any details about your trip. The EANO organising office is your only point of contact and will not ask for your credit card information via phone or email.
